Key Responsibilities of the Executive Assistant at Wellahealth
Executive & Administrative Support
- Manage the executive’s calendar, including scheduling internal and external meetings
- Coordinate across teams and external stakeholders to avoid scheduling conflicts
- Attend meetings on behalf of the executive when required, take detailed notes, and track follow-up actions
- Prepare briefs, reports, presentations, and meeting agendas
Project & Event Coordination
- Support the planning and execution of key internal and external projects
- Organize team events, workshops, offsite meetings, and logistics
- Liaise with vendors, stakeholders, and partners to ensure smooth execution
Finance & Reporting
- Collate and organize invoices and documents for audit and compliance purposes
- Assist in preparing and filing quarterly investment and progress reports
- Maintain confidential files and documentation
Grant & Program Applications
- Research and apply for grants, accelerator programs, and strategic partnerships
- Track application timelines, prepare supporting documents, and follow up on outcomes
Sales & Client Support
- Support light sales coordination including client follow-ups, lead tracking, and CRM updates
- Assist with drafting proposals, pitch decks, and email communications to potential partners or clients
- Schedule product demos or intro meetings and ensure timely follow-through on sales leads
- Monitor inquiries and route them to the appropriate departments when needed
Communication & Relationship Management
- Serve as the executive’s liaison for internal and external stakeholders
- Draft professional correspondence and uphold a high level of discretion and confidentiality
- Represent the executive with professionalism in all interactions
Qualifications for the Executive Assistant at Wellahealth
- Bachelor’s degree in Business Administration, Communications, Marketing, or related field
- Minimum of 2–3 years’ experience in an Executive Assistant role, preferably in a startup or growth-stage company
- Demonstrated experience supporting sales, partnerships, or business development teams is a strong advantage
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and/or Google Workspace; experience with CRM tools is a plus
- Strong multitasking, organizational, and time management abilities
- Professional demeanor with a high level of discretion and confidentiality
Preferred Qualities:
- Experience in early-stage companies or executive-level startup environments
- Familiarity with event planning, pitch preparation, or investor relations
- Ability to think ahead, anticipate needs, and work independently
- Prior experience in a sales, partnerships, or client-facing role is a strong plus
